PRIVACY POLICY
Last updated: August 2026
This Privacy Policy explains how Thomas Synergy collects, uses and protects your personal information when you visit our website or contact us about our entertainment services.
1. Who we are
Thomas Synergy is operated by Martin Thomas, trading as Thomas Synergy ("we", "us", "our"). We are the data controller responsible for your personal information.
If you have any questions about this policy or how we handle your data, you can contact us at:
2. What personal data we collect
We only collect personal data that you choose to give us. Depending on how you interact with our website, this may include:
-
Enquiry form details: your name, email address, phone number, and information about your event (such as date, venue and type of event)
-
Newsletter sign-up details: your name (if requested) and email address
We do not knowingly collect sensitive personal data (such as health or financial information) through the website. If you share this with us voluntarily, for example as part of an event enquiry, we will only use it for the purpose you provided it.
3. How we collect your data
-
Enquiry/contact form: when you submit an enquiry through our website, the details you enter are sent to us via Wix and directly to our email inbox
-
Newsletter sign-up: if you subscribe to our mailing list, your details are stored by our email marketing provider, Wix
4. How we use your data and our legal basis
What We Use It For | Legal Basis under UK GDPR |
|---|---|
Responding to your enquiry and discussing your event | Legitimate interests, and contract performance once booked |
Sending you newsletters or updates you've signed up for | Consent, which you can withdraw at any time |
Keeping records of bookings, invoices and payments | Legal obligation (accounting and tax law) |
We will never sell your personal data, and we do not use it for automated decision-making or profiling.
5. Newsletter marketing
If you sign up to our mailing list, we will only send you the type of content you signed up for. You can unsubscribe at any time by clicking the "unsubscribe" link in any email we send, or by emailing us at entertainment@thomas-synergy.co.uk.
6. Sharing your data
We do not sell or rent your personal data to third parties. We may share your information with:
-
Musicians and band members involved in fulfilling a confirmed booking, where relevant details (such as event date, venue and set list preferences) need to be shared with them
-
Service providers who help us run our website and communications (for example, our website host and email marketing provider), who only process your data on our instructions
-
Authorities where we are legally required to do so (for example, HMRC for accounting purposes)
7. Cookies
We use Google Search Console to see how our website performs in Google Search results (for example, which searches lead people to our site). Search Console does not place cookies or tracking technology on your device, and it does not collect any personal data from you as a visitor; its data comes from Google's own search records, not from our website.
Beyond this, Thomas Synergy does not currently use analytics or advertising cookies. Our website may use essential cookies that are necessary for it to function correctly (for example, to remember your cookie preferences).
If we introduce tools that track visitors directly (such as Google Analytics) or advertising tracking in future, we will update this policy and, where required by law, ask for your consent via a cookie banner before doing so.
8. How long we keep your data
-
Enquiries that don't lead to a booking: we will keep your details for as long as reasonably needed to respond to you, and will delete them after 12 months unless you ask us to keep them for a future event
-
Confirmed bookings: we keep records connected to invoicing and payment for at least 6 years, in line with HMRC's record-keeping requirements for self-employed sole traders
-
Newsletter subscribers: we keep your details until you unsubscribe or ask us to remove you
9. Keeping your data secure
We take reasonable technical and organisational steps to protect your personal data against unauthorised access, loss or misuse. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
10. Your rights
Under UK GDPR, you have the right to:
-
Access the personal data we hold about you
-
Ask us to correct inaccurate data
-
Ask us to delete your data ("the right to be forgotten")
-
Restrict or object to how we use your data
-
Ask for your data to be provided in a portable format
-
Withdraw consent at any time, where we rely on consent (for example, our newsletter)
To exercise any of these rights, please contact us at entertainment@thomas-synergy.co.uk. We will respond within one month, as required by law.
If you are unhappy with how we have handled your personal data, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator:
Website: ico.org.uk Helpline: 0303 123 1113
11. Children's privacy
Our website and services are not directed at children, and we do not knowingly collect personal data from anyone under the age of 16.
12. Changes to this policy
We may update this Privacy Policy from time to time, for example if we start using new tools such as analytics or online payments. Any changes will be posted on this page with an updated "last updated" date.
